What a Move-Out Carpet Cleaning Receipt Should Show Your Landlord
What a carpet cleaning receipt for your Washington landlord should show: date, address, rooms, method, company name, UBI. Text for a written price.
By Yuri and Tatiana, owners of Shining Cleanse LLC, a family cleaning company based in Everett, WA and licensed in 10 cities across Snohomish and King County.
A carpet cleaning receipt for your landlord should show the company’s legal name, phone and Washington UBI number, the service date, the unit address, the rooms and stairs cleaned, the method, any add-ons and the amount paid. Pair it with dated before-and-after photos of each room, so the landlord can see the carpet was cleaned and how it looked afterward.
A receipt that just says “carpet cleaning” and a total proves very little. Below is what each line is for, how to take photos that hold up, and what property managers look for. If you need the cleaning itself, our move-out carpet cleaning for empty units comes with a dated photo report.
What should a carpet cleaning receipt include?
Enough detail that someone who was not there can tell exactly what was done. Use this table as a checklist for any receipt, ours or anyone else’s.
| Line on the receipt | Why it matters | Example |
|---|---|---|
| Company legal name and phone | Shows a real business did the work and can be contacted | Shining Cleanse LLC, (425) 539-5492 |
| Washington UBI number | Lets anyone confirm the business is registered with the state | On every invoice of ours |
| Date of service | Shows the cleaning happened after you moved out and before the inspection | The day of the clean |
| Unit address, including unit number | Ties the receipt to your rental | Street address and unit number |
| Rooms and areas cleaned | Shows the whole unit was done, not one room | 2 bedrooms, living room, hallway, closets |
| Stairs and landings | Counted separately by most companies | Number of steps and landings |
| Method | Tells the landlord what kind of cleaning it was | Hot water extraction with pre-vacuum and pre-spray |
| Add-ons | Shows problem areas were treated, not ignored | Pet odor treatment, number of areas |
| Notes on stains or wear | Records what was already there and could not be removed | Bedroom 2: pre-existing bleach spot by door |
| Amount paid and payment method | Proves payment was made | Unit price, each add-on, tax where it applies, total; card or Zelle |
Check the unit number before you forward anything. A receipt for the wrong unit proves nothing.
Why does the UBI number matter on a receipt?
It shows the company is a registered Washington business. A UBI is a nine-digit number that registers a business with several state agencies, according to the Washington Department of Revenue, and anyone can look it up in the state’s Business Lookup.
For a landlord, a receipt from a registered business reads differently from a note written by a friend with a rented machine, and it can be verified without contacting you. Ours shows Shining Cleanse LLC and our UBI; we hold city business licenses in the ten cities we work in, including Lynnwood, Bothell and Mill Creek. Our guide on how to check if a cleaning company is licensed in Washington shows the lookup step by step.
If a company cannot give you a business name and UBI, think twice about using that receipt as proof. Ask for both before you book.
Before
AfterDoes a landlord accept photos as proof of carpet cleaning?
Photos show the result; the receipt shows the work happened. Each covers what the other cannot, so keep both. In Washington, RCW 59.18.280 says no part of a deposit may be withheld for carpet cleaning unless the landlord documents wear beyond ordinary use, and it requires landlords to include estimates or invoices to support damage charges.
So both sides are expected to keep paperwork. Your receipt and photos help most when they match the move-in checklist you signed. This is general information, not legal advice. For the full picture, read our guide on move-out carpet cleaning and what Washington landlords can charge.
How do you take before and after photos that hold up?
Take every photo from the same spot twice: once before cleaning and once after the carpet is dry.
- Stand in each doorway and shoot toward the far corner, so the whole floor is in frame.
- Turn on all lights and open the blinds.
- Take a close-up of every stain, burn or worn spot, with a coin for scale.
- Shoot closets, the hallway and each stair landing, not only bedrooms.
- Keep the original files. Phone photos carry the date and time; a screenshot or edited copy may lose it.
- Take the after photos once dry, usually 4–8 hours after hot water extraction. Damp carpet looks darker and patchy.
- Put the receipt and all photos in one email to yourself, then forward it to the landlord.
If the move-in checklist already lists a stain, photograph that line of the checklist too. It saves an argument about whether the stain is new.
Can I clean the carpet myself instead?
Check your lease first. Some leases ask for professional cleaning with a receipt; if yours does, a rental machine may not meet that wording. If it does not, cleaning it yourself is an option, and the same rules apply: dated before-and-after photos, the rental receipt with the date, and a note of anything that did not come out.
The common problems with rental machines are overwetting and leftover detergent, which leave carpet damp for a day or more and can make it re-soil quickly. If you go that way, use little solution, make several dry passes and let it dry fully before the inspection. Our move-out cleaning checklist for Washington tenants covers the rest of the unit.
What do property managers look for in carpet cleaning paperwork?
The same information in the same place every time: the unit number, the date, a clear room list, neutral condition notes and an invoice they can file with the turnover.
Neutral wording matters. “Ordinary wear in traffic lane” or “pre-existing stain, did not lift” is useful. “Looks great” or “tenant destroyed carpet” is not. Our reports use one line per room: ordinary wear, or a specific issue such as a permanent stain or a burn. We do not describe worn or sun-faded carpet as new, because a report a manager cannot trust is worthless to everyone. For management companies, we keep one Certificate of Insurance on file and send one invoice per month, Net 15; see our property managers page.
What our photo report and receipt include
Every move-out carpet visit includes a before and an after photo of each carpeted room, from the same spot and dated, with a one-line note per room, sent by text or email on the day of the clean. Before the visit you get the price in writing, so the receipt matches the quote. These are our current prices (full list on our pricing page):
| Empty unit, carpet only | Price |
|---|---|
| Studio or 1 bedroom | $220 |
| 2 bedroom | $226 |
| 3 bedroom | $276 |
| Stairs | $5 per step, $10 per landing |
| Pet odor treatment | $52 per affected area |
| Booked with our move-out clean, same visit | $20 off each unit |
Washington sales tax, where it applies, is a separate line. You pay by card or Zelle when the work is done. Stairs are counted step by step on the receipt; here is why carpeted stairs are priced per step. For the wider local market, see our carpet cleaning cost guide for Snohomish County.
Our jobFAQ
How long should I keep a carpet cleaning receipt?
At least until the deposit is settled. Washington landlords have 30 days after you move out to send the deposit statement, so keep the receipt and photos well past that, and longer if anything is disputed. A copy in your email is enough.
Does a handwritten receipt count?
It can, if it shows the business name, UBI, date, address, rooms, method and amount. The detail and the ability to verify the business matter more than the format.
Should the receipt go straight to the landlord?
It usually goes to whoever paid. Forward it yourself together with the photos in one email, so the landlord gets the full record and you keep a copy of exactly what you sent.
